Administrative & Quality Assurance Specialist

SUMMARY: The Administrative & Quality Assurance Specialist provides customer service, general office, and quality assurance support. This position also serves as the Receptionist for the Santa Maria office.

RESPONSIBILITIES:

  • Answers incoming phone calls, listens to and returns all voicemail messages, and greets/directs all visitors. Answers general questions about CALM services. Notifies staff of client arrivals.
  • Manages and distributes mail
  • Maintains office equipment, including copier and fax machines.
  • Orders, purchases and distributes needed office or program supplies, including supplies for all office equipment.
  • Responsible for the professional appearance and upkeep of the physical office
  • Asks for and receives payments from clients
  • Opens the office in the mornings and closes/locks the office in the evenings.
  • Coordinates child care for therapy groups; serves as backup child care provider as needed.
  • Complete other administrative duties and errands, as assigned.
  • Facilitate intake calls or walk-in service requests
  • Assign referred clients to Intake Coordinator, assist with paperwork, and create Intake packets
  • Scan, copy or fax documents as requested by clinicians or managers

QUALIFICATIONS:

  • BA/BS degree in related field, or high school diploma with equivalent experience.
  • Must have at least 2 years’ reception and/or general office experience.
  • Bilingual (Spanish/English) required.
  • Experience working in a health/counseling center, with MediCal recordkeeping, preferred.
  • Must have a valid California drivers’ license, clean DMV, and criminal record clearance from the DOJ.
  • Excellent customer service skills, strong oral and written communication skills.
  • Able to interact with a variety of staff and visitors in an effective, courteous, and professional manner. Positive attitude.
  • Able to work independently, and be a strong team player.
  • Utilize effective time management skills and complete tasks in a timely manner.
  • Extremely organized and detail-oriented.
  • Strong computer knowledge, using PC, Microsoft Word and Excel, and Outlook.

POSITION INFORMATION:

This is a full time (40 hours/week) position. Salary is DOE. Benefits include medical, dental, vision, life insurance, paid holidays, PTO, and a 403(b).
